This article will guide you on how to change your mail server setting from POP to IMAP.
The Messaging Company recommends using IMAP
- Limited access to email
- Depending on configuration, emails may only download to single device
- Backup responsibility
- Removing email from our server using POP means we are unable to assist if you lose access to your data. Backup of downloaded data is your responsibility
- Folder synchronisation
- POP only downloads the Inbox and does not sync other folders associated with your email account
Back up your email data before changing your POP account to IMAP account. As our team is only able to provide limited support for POP accounts, we will be unable to assist with any data loss incurred.
Select the email app you're using
Classic Outlook
Before starting the backup, sign in to your webmail and check for any important emails that it also shows in your Outlook. This ensures all important emails are included in the backup.
1. Back up your existing POP account
- Open the Outlook (classic) application on your computer

To ensure that emails in Outlook are updated before backup:
- Select Send/Receive at the top of Outlook
- Select Send/Receive All Folders and wait until it has completed

Disable automatic Send/Receive to prevent new emails from downloading during backup process:
- Select Send/Receive again
- Select Send/Receive Groups then select Disable Scheduled Send/Receive

Select File, then Open & Export, then Import/Export

Select Export to a file, then select Next

Select Outlook Data File (.pst), then select Next

Select your email account. select Include subfolders, then select Next
Check
Ensure that Include subfolders is selected

Select Browse to choose the back up file location, then set the file name to Email Back up, then select OK

Select Replace duplicates with items exported and then select Finish

Set a password for your back up file, then select OK
-
A prompt will appear to enter the created password for the back up file, enter the password and select OK
- Wait for the backup to complete before continuing
2. Add an IMAP account

Select File, then Account Settings, then Manage Profiles, then Email Accounts

Select New
-
Select "Manual setup or additional server types", then Next

Select "POP or IMAP", then Next

Enter the following information below:
- Your Name: Enter your name
- Email Address: Enter your email address
- Account Type: IMAP
- Incoming Mail Server: imap.themessagingco.com.au
- Outgoing Mail Server (SMTP): smtp.themessagingco.com.au
- Username: Enter your email address
- Password: Enter your email password

Select Remember my password

Select More Settings

In the Outgoing server tab, select the following:
- My outgoing server (SMTP) requires authentication
- Use same settings as my incoming mail server

In the Advanced tab enter the following information:
- Incoming server (IMAP): 993
- Use the following type of encrypted connection: SSL/TLS
- Outgoing server (SMTP): 465
- Use the following type of encrypted connection: SSL/TLS

Select OK then select Next

Wait until the testing of the account settings is completed and select Close

Select Finish, and proceed to close all the windows that popped up
3. Download your back up POP account to the new IMAP account
After importing, Outlook will upload emails to the IMAP server. This may take time, please keep Outlook open until syncing completes.
Outlook may create duplicated emails due to POP account limitations after email import/download. Please check the duplicated emails and delete manually base on your preference.

Select File, then Open & Export, then Import/Export

Select Import from another program or file, then select Next

Select Outlook Data File (.pst), then select Next

Select Browse and choose Email Back up, then select Open

Select Replace duplicates with items imported, then select Next

Enter the back up password that you set up twice to verify, then select OK

Select the Select the folder to import from
- IMPORTANT ensure that Include subfolders is selected
- Select Import items into the same folder in, then select the dropdown to select the IMAP account created

Select Finish

Check that email data is successfully imported
- Check the Inbox and ensure the email count matches
- Check Sent Items and any custom folders are present
- Look for your most recent emails
- Sign in to Webmail and confirm the emails appear there
4. Set IMAP as default

Select File, then Account Settings, then Account Settings again

Select IMAP account

Select Set as default, then select Close
5. Remove the POP account
Before removing your POP account, please check all email data have been imported successfully.
Please keep the email back up on your computer for future reference.

Select File, then Account Settings, then Account Settings again

Select the POP account
-
Select Remove

A warning prompt will appear, select Yes, then select Close

In the left panel (where you can see your added accounts), right click on the email address of the POP account, and select Close

Enable Scheduled Send/Receive to allow Outlook sync new emails
- Select Send/Receive
- Select Send/Receive Groups and untick Disable Scheduled Send/Receive
New Outlook
Switching a POP account to IMAP account in the New Outlook requires additional steps, because the new version does not yet support .PST import/export or full local mailbox management. The safest method is to migrate the mail using Classic Outlook first, then switch back to the New Outlook.
1. Switch from New Outlook to Classic Outlook
- Open the New Outlook application on your computer
- Toggle New Outlook switch in the top-right corner to return to Classic Outlook
- Feedback to Microsoft will appear. You have the option to answer or select Skip Feedback
2. Classic Outlook will open. Follow the step 1 to step 4 provided here Classic Outlook
3. Switch from Classic Outlook to New Outlook
- In Classic Outlook, toggle Try the new Outlook ON
- Prompt will appear and select Switch to return to the New Outlook
- Downloaded emails will show under IMAP account on New Outlook
4. Remove the POP account
- In New Outlook, select File, then select Account Info
- Select your POP account, then select Manage
- Scroll down and select Remove
- Select Remove from this device, then select OK
- Close the Settings
