This article provides instructions on how to export or backup email data using the email client: Outlook
Instructions may vary depending on the device and version of the email client you are using.
If you require more information for your version of Outlook, we recommend following the instructions provided directly from Microsoft: Export emails, contacts, and calendar items to Outlook using a .pst file
Ensure you are syncing all emails to Outlook
- Select File
- Select the required email account
- Select Account Settings, then select Account Name and Sync Settings
- Move the slider for Keep mail offline for to All, then select Next
- Select Done
- Select the back arrow to return to your inbox
- Select Send / Receive
- Select Send/Receive All Folders
- Wait until all your email has been synced before continuing to the next part of this article
Export data to a PST file
- Select File
- Select Open & Export
- Select Import/Export
- Select Export to a file, then select Next >
- Select Outlook Data File (.pst), then select Next
- Select the required email account to export, then select Next >
Caution
Make sure that Include subfolders is selected
- Choose where to save the file, then select Finish
- Enter a password to protect your data file. Verify the password, then select OK
Caution
This password will be required to recover your data. Ensure you store this password securely in a password manager for future reference.
- Enter the password you just created, then select OK
